This Privacy Policy applies to the AttendX mobile application, employee portal, admin dashboard, and related services (collectively, the "Service").

This Privacy Policy describes how Ananta Labs ("we", "us", or "our") collects, uses, stores, and protects information when you use the AttendX mobile application, employee portal, and related services.

Application and Developer Information

1. Information We Collect

Depending on your role and how your employer configures the Service, we may collect:

  • Account information: name, email address, employee ID, department, designation, and company affiliation.
  • Attendance data: check-in and check-out times, shift assignments, attendance summaries, and related workforce attendance records.
  • Location / branch information: branch, site, or workplace location details when your employer enables location- or branch-based attendance features.
  • Face / biometric data: face images or face templates used for identity verification during attendance, only when your employer enables face verification and you provide consent where required. See the Face / Biometric Data section below.
  • HR and payroll data: leave balances, leave requests, documents, salary-related records your employer chooses to store, and other workforce information managed through the Service.
  • Device and usage data: app version, device type, operating system, and diagnostic logs needed to operate and secure the Service.

2. How We Use Information

We use collected information to:

  • Provide attendance tracking, reporting, and workforce management features
  • Authenticate users and prevent unauthorized access
  • Verify identity for attendance when face verification is enabled by your employer
  • Process leave, corrections, overtime, and other requests submitted through the app
  • Send notifications and reports configured by your employer
  • Maintain security, troubleshoot issues, and improve the Service
  • Comply with legal obligations

3. Who Controls Your Data

For employee accounts, your employer (the company that provisioned your account) is the primary controller of workforce data. Ananta Labs processes data on behalf of that employer according to their instructions and applicable agreements when providing the AttendX platform.

4. Sharing of Information

We do not sell your personal information. We may share data:

  • With your employer and authorized administrators within your company
  • With service providers that help us host, secure, or deliver the Service (under confidentiality obligations)
  • When required by law, regulation, or valid legal process
  • To protect the rights, safety, and security of users and the Service

5. Face / Biometric Data

AttendX may process face images for attendance and identity verification when your employer enables this feature.

  • Purpose: Face data is used to verify identity during check-in / check-out and related attendance workflows.
  • When collected: Only when face verification is enabled for your organization and enrollment or punch capture is performed.
  • Consent: Where required by your employer's configuration or applicable law, biometric/face consent may be required before face enrollment or face-based attendance. You may be able to withdraw consent where that option is provided; withdrawing consent may limit face-based attendance features.
  • Access: Face enrollment images and related records are accessible to authorized company administrators and platform operators as needed to provide and support the Service.
  • Protection: We use administrative, technical, and organizational measures designed to protect information, including access controls, encrypted transport (HTTPS), and role-based permissions.
  • Retention: Face enrollment images and related biometric records are retained while your employee profile remains active or as otherwise required by your employer's policies, legal obligations, audit needs, or security requirements.
  • Deletion / withdrawal: Employees may request deletion or withdrawal of face enrollment through their company administrator / HR, or via the account deletion process described on our Delete Account page. Deletion is subject to legitimate legal, contractual, security, or employer-related retention requirements and may not be immediate.

6. Data Retention

We retain information for as long as your employer's account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary based on employer settings and applicable law. Account or data deletion requests are handled through the process described at Delete Account, and some information may be retained where required for legal, contractual, security, billing, audit, or employer compliance purposes.

7. Security

We use administrative, technical, and organizational measures designed to protect information, including access controls, encrypted transport (HTTPS), and role-based permissions. No method of transmission or storage is completely secure.

8. User Choices and Rights

Depending on your location and employer policies, you may have the right to:

  • Access or correct certain personal information through your employer or HR team
  • Withdraw biometric/face consent where applicable (may limit face-based attendance)
  • Request deletion of your account or associated personal data — see our Delete Account page

Employees should contact their company administrator or HR department for most data requests. Company administrators may contact Ananta Labs for platform-level requests related to AttendX.

9. Children

The Service is intended for workforce use and is not directed at children under 16. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Continued use of the Service after changes constitutes acceptance of the updated policy.
